The BusinessDesk Project Management module brings work together from an accepted quotation to project closure. Quotations, contracts, milestones, tasks and acceptance records are linked to the same project. Project managers and team members can track progress, outstanding work and settlement status from a shared record.
Internal project policies and procedures can be reflected in milestone templates, mandatory tasks and approval rules. The system checks whether a phase can be closed against the configured conditions, while additional tasks can be added for individual project requirements.
Company-specific project and milestone templates
New projects automatically receive the company’s predefined task list organised by milestone, from contracting to the final invoice. Templates support consistent delivery, while project managers can add tasks specific to each project.
Mandatory tasks and phase closure conditions
An administrative, delivery or closing phase can only be closed once all its mandatory tasks are complete. Required assignment and approval can also be defined for critical tasks, such as handling initial guarantees or the final invoice.
Collaboration suited to the task
Completion of simple tasks can be recorded directly. Where another colleague needs to be involved, a task can be assigned, reported complete, then accepted or returned for correction. Task handling therefore matches the responsibility and review requirements of the work.
Shared task list and reminders
Project tasks are tracked in a shared list, making completed and outstanding work visible. An automatic email reminder can be scheduled for a chosen date for any task, whether it is recorded directly or assigned to another person.
Documents linked to the project
Documents associated with contracts, acceptance records and tasks are automatically linked to the relevant project and contract. Searchable records keep the documents needed for administration accessible alongside the related business data.
Contract value and acceptance records
Acceptance records are linked directly to the contract, allowing the remaining amount available for settlement to be tracked. The system prevents an acceptance record from exceeding the remaining contract value. This check supports financial control for both customer-facing and subcontractor settlements.

A defined workflow guides participants from contract preparation through review and approval to finalisation. Assign owners and control points to each stage, making progress and the next action clear.
Documentation and signing
Manage contract documents and signing steps as part of the workflow. The signing screen shown is an example of digital documentation; the specific signature solution and integration are agreed during implementation.
Subcontractors and margins
Track billable work for customers alongside obligations to subcontractors throughout the project. A combined view supports project margin monitoring and cash flow planning.
Invoicing and receivables management
Use billing cycles and project milestones to track which completed work has been invoiced. A receivables management workflow can be linked to invoice status tracking to support the collection of overdue balances.
