Who is it for?

For teams coordinating work across multiple sites.

FieldOps is primarily designed for mid-sized businesses and larger service organisations where multiple technicians or teams carry out scheduled maintenance and ad hoc repairs. It is especially useful for contractors that continue to service the equipment and systems they install. It is also a suitable starting point when task allocation and progress updates still rely on paper, Excel or telephone calls.

Contract management, resource scheduling, task assignment, electronic work orders and settlement are available as standard functions. During implementation, we configure them to fit your services and operating rules without programming, enabling the system to support day-to-day work after a short implementation project.

FieldOps is part of the Flowtion product family and is built on the shared Studio development foundation. Additional custom workflows and system integrations can be delivered in separate projects; implementation scope and timing are defined through a requirements assessment.

Field operations

The complete service workflow in one system.

FieldOps connects the workflow from contractual commitments through on-site documentation and approval to billing preparation. On the shared Flowtion platform, process steps can be adapted to the way your business operates.

What needs servicing, and under which terms?

Record which customer site, equipment or system the contract covers — for example, a fire alarm system in an office building or ventilation equipment at a plant. Link the agreed maintenance tasks, service terms, pricing and settlement rules to that record.

Both individual and framework agreements can be managed. Pricing rules can vary by contract, including call-out charges, labour charges, fixed fees, material costs and discounts. Depending on the contractual arrangements, settlement and approval may be based on a site visit, a completed task or a service period.

Who should do the work, when and with which equipment?

Scheduled maintenance and ad hoc fault reports enter the same task management process. A colour-coded resource calendar shows staff and equipment bookings, allowing dispatchers to allocate new work based on available capacity. The aim is to make deliberate use of technicians’ time and coordinate concurrent tasks.

When an urgent fault is reported, dispatchers can select a team and time slot or rearrange tasks based on the work already scheduled.

  • Daily capacity limits — Set the realistic number of tasks that can be assigned to each resource per day.
  • Adjustable time estimates — Tasks receive a default scheduled time and duration automatically, which can be overridden to suit the specific job.
  • A designated task owner — Even when multiple staff members or items of equipment are assigned, the person responsible for completing the work can be clearly designated.

On-site work on a tablet or phone

Technicians view their assigned tasks on a tablet or phone and record completed work, materials used and time spent on site. Photos and measurements can be attached, and newly identified faults can trigger follow-up tasks. The system automatically generates an electronic work order ready for signing from the recorded data, reducing paperwork and later data entry.

Fee calculation and acceptance records

The system calculates service charges automatically using the prices and settlement terms configured in the contract. The approval workflow handles work orders returned for correction as well as non-billable warranty work. Approved work can produce individual or consolidated service acceptance records, and the data can be passed automatically to billing according to the configured workflow.

On-site data capture can reduce follow-up administration. Documented materials, time and completed work can help reduce unbilled services; this impact should be quantified separately using the customer’s baseline data.
